About the Role

We are seeking an experienced HR Administrator to join our recruitment resourcing team at our Stevenage site. This is a contract role with a dynamic, hybrid working model, requiring 1-2 days per week on-site.

Key Responsibilities

  • Co-ordinate and organise interviews for all levels within the UK business.
  • Liaise with managers, agencies, and Business Support Officers to coordinate diaries.
  • Book interviews via the HR system Workday, including sending confirmations to managers and candidates.
  • Co-ordinate and set up psychometric testing as required for general hire and Early Careers Programmes (ECP).
  • Monitor Workday for all actions, including interviews, conditional and firm offer actions, and ECP offers.
  • Action conditional offers and update contract requirements outside of Workday when necessary.
  • Monitor emails from Occupational Health and Security on candidate status, start dates, etc., and liaise with Recruitment Advisors.
  • Chase candidates for missing data.
  • Update SAP with pension status and Contingent Worker (contract) clock numbers after generation.
  • Update payroll spreadsheet with bonus payments (when applicable).
  • Process qualification validation checks through Hedd checks.
  • Load data into Workday.
  • Liaise with the onboarding team to ensure any changes to the process are actioned.
  • Update holiday status for all employees on their start date.
  • Assist, when required, with the administration process for leavers to ensure a smooth transition and exit from the business for both general and ECP hire, sending confirmations to the leaver and managers, updating all areas of the business of the leaver, and updating Workday.
  • Advise pensions of leavers.
  • Liaise regularly with your wider Resourcing Admin team, focusing on identifying and agreeing on ways to continually improve processes and practices.
  • Ensure all HR systems (Workday/SAP) information is regularly updated, with all changes and amendments.
  • Organise and prioritise your own workload, ensuring all deadlines are met, reviewing and monitoring priorities to ensure quality and standards are maintained.
  • Investigate problems, queries, and issues, presenting conclusions and discussing recommendations.
  • Act as a member of the wider Resourcing UK team, participating in meetings and contributing to the planning of activities.
  • Carry out any ad-hoc administration tasks as required.
  • Liaise with procurement and finance internally to carry through supplier risk checks, PO's, and invoicing to ensure suppliers are paid on time.
  • Deal with references according to GDPR criteria.
  • Process queries via the resourcing inboxes.
  • Scanning and general housekeeping.
